Minutes of the AGM Sept. 12, 2019 at the BVCC
Directors present at the meeting:
Paul Clements, Pam Copeland, Andy Gellatly, Jean Grummett, Karen Kristy
The 2019 AGM was held on Thursday, September 12 from 4:00 to 5:00 PM at BVCC. Paul Clements welcomed approximately thirty-five members to the annual meeting of the Thornbury Pickleball Club. He then introduced the two new directors, Pam Copeland and Karen Kristy.
The minutes of the 2018 AGM meeting read by Jean Grummett were moved and approved as posted with all in favour.
Andy Gellatly went over the financial report for 2018-19 period which had been sent out to the members for viewing prior to the meeting. Paul Clements indicated that the 30% reduction in the hall rental for the TPC in the past will come to an end December 2019. This will result in a rent increase of approximately $6000/year. The TPC will now be required to apply for a subsidy from the town resulting in a need to raise the yearly $125 membership fee.

TPC Annual General Meeting of 2018
Beaver Valley Community Centre

TPC president, Paul Clements, welcomed approximately thirty-five members to the annual meeting of the Thornbury Pickleball Club. He thanked all the members for their contributions (the committee members, line installers, our photographer, ambassadors and tournament helpers) in making the TPC the club that it is today.
After reading the minutes of the last meeting, Jean Grummett, moved that the minutes be approved as read and posted, seconded by Andy Gellatly and Peter Robinson.
Financial Report
Paul Clements briefly discussed the financial report that was sent out to the members prior to the meeting, highlighting the fact that a percentage off the actual cost of the rent and few expenses make it possible for the membership fees to be kept at $125. He also mentioned that TPC receives a 30% discount on the hall rental and should that be taken away the current bank account reserve would be needed as the timing of our contract with the town vs setting our annual fee is not in sync. Interim Memberships brought in approximately $2500 and with these funds the club was able to help pay for the cost of the clinics being offered by Cam Taylor. Since there were no further questions re the financial report, Paul moved that the report be approved as printed, seconded by Andy Gellatly.

Paul explained more about the clinics being offered to the members to provide opportunities to improve their skills which is a part of our mandate.
Good Will
It was also decided this year that those members suffering from ill health or accidents would be sent a potted plant (minimum $25). The decision re donations when a death of a member occurs will be left to each individual member.
Update on Outdoor Courts -
Al Tulloch has been working on behalf of our club to get some outdoor pickleball courts in our town. They will be proposed in the parks budget for the Bayview location east of the town hall. We, the TPC, can be of most help by emphasizing the need for more courts and send emails to Ryan Gibbons, acting Director of community services for the town, [email protected] .
Interim Memberships
A couple of questions re Interim Memberships were answered. Interim Memberships are posted on the website for the persons on the waitlist, as well as former members of the TPC. No one person will pay more than $125 during a year for the Interim Memberships that they select. Also, when full time memberships become available, Interim Members get priority to fill those spots. Paul, along with the members present, extended a warm welcome to our newly acclaimed director, Andy Gellatly. He joins Rayne Bryla, Cor Boorgerman, Jean Grummett and Paul Clements who were also acclaimed. No vote for directors was required.
Peter Robinson asked if we could make plans to invite the members from the Lighthouse Tournament back for a tournament at our locale. That will be one of the items on the agenda for the directors at the first meeting.

- Morning Play? There are very few opening spaces left that are available to rent.
- Steve Lyons showed some concern that he feels some of the better players are not coming to play or are leaving the club to play elsewhere. Paul explained that we have a unique situation here in that there are several other pickleball groups at the community centre which do offer perhaps a more competitive, advanced play - the Tuesday night group and a couple of others that are ‘by invitation only.’
- Our goal in the mandate states - that we provide a positive environment that supports fun and exercise for all active members of the Thornbury Pickleball Club. This was also reiterated by Gilles Letourneau who says he likes to be competitive although he also enjoys the social aspect of the game and wishes that more members from Group 2 would come to play on Thursdays (Open Play Day). It was also mentioned by another member that the new outdoor courts at Bayview Park may be the answer to some of the issues being dealt with at the present time.
- It was mentioned that overlapping is possible where a member can play from one group into another provided they play only the 2.5 hours allotted. Although some members agree with overlapping, there are some who feel that this is not working for the group two members.
Emails submitted to the CLub
- An email from Sarah Gazarek who works at RBC Dominion Securities in Collingwood for the Kennedy Wealth Management Group was wondering if we were looking for sponsors with regards to the new courts at the Bayview Park.
AL Tulloch and Harry Stevens are looking into that option. - Al Tulloch indicated in an email to the TPC that he hoped our club could help out at the new courts by providing some of the items that the town will not supply.
